OpportunityWe are looking for a full time Remote Medical & Safety Coordinator (Operations Coordinator) for our headquarters in Anchorage, Alaska for a contract from June until December 2024. This is a Monday to Friday hybrid role (Monday to Thursday are in office; Fridays are working from home). The hours of the role are 8:00 am to 5:00 pm. This position requires occasional overtime on evenings and/or weekends. On occasion there will be a need for travelling, normally 12 hr minimum days.The Remote Medical & Safety Coordinator provides administrative support to the VP and Project Managers of Remote Medical and Safety empowering team members to perform their jobs productively and efficiently. They are the overall liaison support to the Remote Medical & Safety teams and Beacon Clients. The coordinator performs various general administrative tasks such as creating documents, proofreading, sending communications, filing, coordination of travel, scheduling team members, etc.Excellent computer skills in MS Word, Excel, Teams, and Outlook are essential to this position. Must have the aptitude to listen, learn and develop in the field of Remote Medical & Safety. Demonstrate ability to communicate professionally in both written and verbal form required. Ability to comfortably multitask and shift gears through the workday as well as meet tight deadlines. Strong organization skills, including the ability to manage multiple schedules and calendars.Qualifications

  • High school education required
  • Four Year College Degree Preferred
  • Preferred Administrative background
  • Advanced working knowledge of Microsoft Office Programs
  • Detail oriented precision in all areas of work

  • Ability to prioritize task according to urgency and meet tight deadlines
  • Strong interpersonal skills, both in person and over the phone

Key Responsibilities

  • High Level Administrative Support
  • Coordinating with HR / Recruitment for open positions
  • Follow New Hires through pre-employment and onboarding process
  • Updating Master Shift Schedule for Staff, helping source gap coverage
  • Coordinating Travel / Logistics / Manifest
  • Tracking License / Certs / Renewals
  • Training compliance
  • Uploading Certs into Insight
  • Ensuring Collaborative Agreements are completed and filed with State
  • Ensuring Medic Sponsorship Forms completed and filed with the State
  • Scheduling Bio Medical Calibration of Equipment
  • Setting up Calendar Notifications / Reminders
  • Scheduling Meetings
  • Taking Meeting Minutes
  • Database Management
  • Implement new processes for increased efficiency
  • Helping with ISNetworld
  • Assist VP, PM, QA and Medical Director with Program, Policy, Procedure Development
  • Assist QA with Monthly / Quarterly Client Reporting / Dashboards / Statistics
  • Assist with Mobilization of Remote Medical Projects
  • Other Duties as Necessary
