POSITION SUMMARY – This position is based in the United Kingdom (remote)

The Operations Manager, UK is responsible for providing support for the administrative, financial, and human resources functions in the UK. Duties are varied and include managing financial & accounting transactions (including banking transactions and accounting entries), monitoring donor transactions, maintaining filing, and reporting systems, creating reports and analysis, new hire onboarding, and other proactive office support to ensure the efficient functioning of the operations department in the UK. The position will also provide IT liaison support as directed.

The Operations Manager, UK serves as a go-to resource on operational matters in the UK. They will work closely with the VP UK and Senior Director Operations Europe as well as UK staff and the CI Europe Operations team to ensure operational functions comply with CI’s policies, procedures, and donor and local reporting requirements. They will have a thorough understanding of CI’s policies and procedures, be able to guide staff in applying them and work with the supervisor to resolve more difficult questions and requests.

This position demands a high level of organizational skills, keen attention to detail, and the ability to work effectively in a fast-paced environment. This position does not supervise staff but assists peers and others. Duties are performed under general supervision.

RESPONSIBILITIES

  • Ensure operational services in the UK run smoothly.
  • Function as a recognized resource for routine and non-routine operation matters in the UK. Guide staff in understanding and applying CI operation policies and procedures and resolving their questions or concerns.
  • Managing HR administration and paperwork in the UK, including but not limited to employment, right-to-work check, skilled worker visa, time& attendance monitoring, payroll & benefit coordination with external administrators.
  • Assist with onboarding new employees.
  • Manage day-to-day financial and accounting transactions. Tasks include AP accounting entries, reviewing and preparing check requests, reimbursements, reclasses, and other related transactions.
  • Provide contract administration and support. Tasks include reviewing and verifying contract information, entering and maintaining contract information in CI’s management systems, and generating reports.
  • Assist with the annual budget process. Generate analysis and reports for the management team.
  • Create and review expense reports, track expenses and ensure accurate coding.
  • Review time reporting for proper coding and charging.
  • Manage filing systems.
  • Track contracts and donor agreements and review for compliance with donor agreements.
  • Provide logistical support for meetings and events in the UK.
  • Function as liaison with IT for employees in the UK, including coordinating IT equipment purchases.
  • Support CI UK Board of Trustees board meeting preparation.
  • Assist with ensuring CI UK compliance with all Charity Commission regulations and reporting requirements.
  • Oversee management of any future CI UK office space arrangements.

Perform other duties as assigned by supervisor.

WORKING CONDITIONS

  • Home working (remote).
  • Occasional travel may be required (less than 10%).
  • Occasional extended hours work to meet deadlines.
  • Eligible to reside and work in the UK.

QUALIFICATIONS

Required

  • Bachelor’s degree or equivalent experience in a relevant field such as administration, accounting, finance, or human resources.
  • 4 to 6 years of professional working experience.
  • Excellent organizational skills; including the ability to take initiative, prioritize, and work independently with limited supervision.
  • Full or part professional qualifications in finance and accounting.
  • Strong oral and written communication skills in English; capacity to explain complex issues simply.
  • Strong analytical skills
  • Diplomatic, constructive, and solution-oriented approach to collaboration.
  • IT savvy, good command of the MS Office package.
  • Interested and engaged in nature conservation.

Preferred

  • Working experience in an International NGO.
  • Previous experience in management of operations for a UK-based international NGO.
  • Knowledge of other EU languages (French in particular).
