Job purpose:
Supervise and administer the work of staff. Support the Payroll Operations Team in the development and management of business processes related to payroll processing/reporting functions. Develop and implement performance tracking and reporting systems and processes. Respond and resolve escalated employee/supervisor requests related to employee payroll processing/reporting issues. Assist in implementing the payroll goals/objectives/strategies by optimizing the SAP Payroll solution at Hydro One.
Duties and Responsibilities Payroll Operations:
- Guide and assist team members with daily activities and projects.
- Manage Payroll calendars & processing schedules for Holidays.
- Oversee mass transactions (e.g. mass salary changes, one-time payments, etc.).
- Approve all payroll remittance and posting to the GL.
- Facilitate audits of payroll to ensure accuracy and compliance with regulatory requirements.
- Verify and approve complex calculations and reconciliations of Payroll.
- Oversee payroll audits, validate discrepancies, sign off on Payroll.
- Analyze data to track team’s performance against relevant KPIs and SLAs. Manage Pay Specialist and Business Applications Analyst
- Manage the team’s workload and schedules to meet deadlines and achieve high levels of customer service.
- Handle day-to-day people management responsibilities including status updates, performance evaluations, disciplinary actions, etc.
- Coordinate day-to-day activities of Pay Specialists, and Business Applications Analyst.
- Provide ongoing coaching and guidance to team members regarding Payroll processes.
- Handle Escalations
- Act as next level of escalation for complex Payroll inquiries, anomalies, issues.
- Payroll Setup
- Coordinate and drive system testing (in collaboration with T&A and EDM, HR Tech / IT Sustainment) for the payroll function (SAP Patches, tax updates, etc.)
- Payroll Special Projects
- Develop and manage written documentation regarding Payroll procedures and processes.
- Payroll Subject Matter Expert
- Assist Pay Specialists to interpret and understand federal and provincial employment legislation and regulations.
- Review/update policies and procedures to ensure compliance and alignment with Payroll and HR strategy.
- Stay up to date on industry trends and evaluate current programs, processes and practices to recommend solutions that could improve payroll operations.
- Continuous Improvement
- Review metrics to determine areas that need to be addressed through employee or manager communications, system or procedural changes in order to reduce errors and employee complaints.
- Lead implementation of procedural changes as needed to update or simplify administrative processes and procedures.
Qualifications
- Requires a Payroll Leadership Professional (PLP) designation.
- University degree in accounting or a related field.
- Requires considerable knowledge and experience in payroll and accounting principles. 8 – 10 years’ experience total including relevant 4 – 5 years of experience leading a team.
- Requires experience with SAP systems or Success Factors Employee Central.
- Requires experience in Service Now.
- Requires excellent communication skills in English to effectively communicate with staff, internal and external parties, prepare reports and interpret the intent of Collective Agreements and company policies.
- Excellent time management skills within an environment with competing priorities and deadlines associated with the department operation.
- Demonstrated experience in providing advice and guidance on general and specific enquires from employees and supervisors regarding pay related matters. Demonstrated experience with use of Word and Excel.
