Purpose

  • To provide a professional, efficient and timely executive assistant service on a one to one basis to the Executive Director, to ensure time is focused on governance, strategic planning and overall delivery of the company’s objectives.
  • To act as a liaison to the Board, Directors and Senior Management teams.
  • Enhances the Executive’s and, on occasion the SLT team’s effectiveness by providing information management support; diary management and representing the executive to others.

Job Role Accountabilities

  • To support the Group Capital Management & Investments Executive and be involved in their business activities, including work of a highly confidential and sensitive nature.
  • Offer full proactive EA support. Follow up on required business items to progress actions and ensure outcomes are achieved and ensure the Executive meets all required deadlines.
  • Proactively manage and control the Executives diary and resolve any scheduling issues, including ensuring sufficient time to complete the Executives priorities and optimise the Executives’ time spent in the office. Quickly adapt the calendar according to priorities and business needs.
  • On occasion, support diary scheduling requests for the SLT as requested for specific events, activities or corporate initiatives.
  • Arrange travel and accommodation for business trips ensuring these are in-keeping with our travel and sustainability policies.
  • Supporting the wider Diversity Equity and Inclusion agenda and social committees for CM&I, as well as work with the SLT to organise divisional/ team off-sites like town halls, where required – sourcing venues, controlling and monitoring the contracts and budgets.
  • To provide quality and timely EA support including co-ordinating and preparation of agendas, reports, presentations and minutes as required.
  • Processing of expenses claims, ensuring these adhere to Company policy.
  • Provide assistance (where possible and time allows) to the Executive’s direct reports on various administration and operational tasks.
  • To act as the conduit for communication between the Executive’s department and the wider internal teams and external client base, demonstrating leadership to maintain credibility, trust and support with senior management.
  • To maintain own competence and personal development.
  • Work as part of the wider Executive Assistant team, to ensure the Executive team are working collectively and receiving sufficient time with one another.
  • Adhere to the EA ways of working to ensure consistent delivery across the Executive team.
  • Provide EA holiday cover for another Executive when needed.

Examples of Key Activities

  • Full diary management ensuring all clashes are dealt with promptly,
  • Executive is prepared for upcoming meetings and deadlines and time allocated where changing priorities arise.
  • Review of all incoming correspondence, alerting Executive to urgent emails and following up where required until action complete.
  • Preparing agendas, papers, minutes and actions for key leadership meetings. Ad-hoc to Executive’s direct reports where diary and operational support is required.
  • Planning, delivery and support of wider divisional events and functions. Ensuring Divisional Org Charts and email distribution lists are kept up to date.
  • Workday management, i.e. A/L, expenses approval, etc
