DescriptionThe Program Assistant (PA) will support day-to-day operations of the
Coalition for Global Hepatitis Elimination. The PA will maintain the calendar of program leadership and support scheduling for cross-program meetings. The PA will serve as a representative of the Coalition in communications with key partners. The PA will assist in scheduling and organizing domestic and international travel, especially for the Program Director. The PA will handle logistics and communications for webinars and in-person meetings and events. The PA will support development of Powerpoint presentations, meeting briefing materials, and other key materials.The Task Force for Global Health is an Emory University affiliate located in Decatur, GA. Its eight programs focus on building durable public health systems that serve all people. Focus are-as include neglected tropical diseases, vaccines, and health systems strengthening. The Task Force received the 2016 Conrad N. Hilton Humanitarian Prize–the world’s largest award of its kind–in recognition of its extraordinary contributions to alleviating human suffering.Hepatitis B virus (HBV) and hepatitis C (HCV) virus cause 1.3 million deaths per year and over two million new infections occur annually. Because hepatitis B vaccination, curative therapy for hepatitis C and other interventions can effectively prevent viral hepatitis transmission and mortality, the 2016 World Health Assembly endorsed goals for hepatitis elimination and preventing over 4.5 million deaths by 2030. However, to eliminate hepatitis, access to effective interventions must improve. In 2019, to help countries build effective programs and accelerate progress toward hepatitis elimination, The Task Force for Global Health launched the Coalition for Global Hepatitis Elimination (CGHE). CGHE, www.globalhep.org, builds capacity for hepatitis elimination globally through delivery of technical assistance, knowledge generation and dissemination, and advocacy among partners united in a community of practice.KEY RESPONSIBILITIES:
- Directs the planning, development, and operations of a program.
- Collaborates with representatives from private, government, and international agencies.
- Plans, executes, and monitors program budgets, including approval of expenditures; prepares annual financial and program reports to external parties with interests in the program.
- May engage in fundraising initiatives on behalf of the program.
- Ensures that the program is in compliance with federal and international laws and regulations.
- Oversees program communications, including development of communications strategies, development of key program messages, production of print and electronic materials, and reputation management.
- Represents the program in various national and international fora, and actively engages with representatives from other NGO’s for purposes of conducting research and designing new initiatives.
- May supervise program staff.
- Provides administrative and logistical support for projects, initiatives, and programs within an NGO
environment. * Assists assigned managers and team members by maintaining calendars, receiving and composing communications as correspondence, and replies to inquiries.
- Handles preparations,
scheduling, logistics, and other various requirements for domestic and international travel. * Drafts contracts, budgets, and donor reports with direction from manager.
- Processes financial documents including contracts, expense reports, invoices, etc. Writes routine reports and correspondence, and assists with the development of project/program materials.
- Organizes meetings and events.
- Works with and maintains data management and filing for projects/program.
- Serves as an administrator of work product with other programs/departments, i.e. finance, program development, public information, etc.
- Liaises and communicates with project consultants and field office staff, providing logistical and administrative support, as directed.
- Conducts research and provides support to one or more staff
members in regards to project and programmatic efforts. * May supervise work study students and volunteers.
- Performs other related duties as required.
Calendar management:
- Maintain program calendar of meetings, conferences, and events
- Manage calendar of program Director
- Field scheduling requests from partners and collaborators
- Present team calendar at weekly staff meetings
Partnership management:
- Maintain communications with program partners
- Respond to requests for information
- Support communications with Executive and Technical Advisory Boards
- Prepare briefing and meeting materials
- Support development of grant and financial reports
Webinar and in-person meeting logistics:
- Send speaker, panelist, and participant invitations
- Manage registration lists
- Support execution of events
- Support logistics planning with venues and vendors
- Serve as focal point for event communications with participants
- Develop event briefing materials
- Support presentation development
- Prepare post-meeting summary materials
- Update registration databases
Travel preparations:
- Book domestic and international travel for Director and program leadership
- Handle domestic and international travel arrangements for invited guests to in-person conferences and meetings
- Support travel reconciliation reporting
- Process financial reimbursements and honorarium payments for invited guests
Other Responsibilities:
- Acts as a liaison to partner organizations and all project related personnel and affiliates, with a
high level of diplomacy and tact. * Establishes and maintains regular collaborative contact with both internal and external stakeholders.
- Participates in problem solving and resolution of operational issues.
- Participate fully as a member of the Task Force for Global Health by contributing, assisting, and participating in projects, activities, and initiatives as requested by management
- Performs other related duties as required.
MINIMUM QUALIFICATIONS:
- Bachelor’s degree in field related to specific program as indicated and six years program related experience, or equivalent combination of experience, education, and training.
PREFERRED QUALIFICATIONS:
- Proficiency with SmartSheet and Microsoft Office applications (Excel, Word, Outlook,PowerPoint, etc.)
- Excellent English writing and verbal communication skills; high attention to detail and quality
- Proficiency in a second language
- Strong interpersonal and intercultural skills
- Previous experience working on international projects
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA.
