  • Facilitating the processing of contracts for consultants, vendors and external partners that support the office in programme delivery. This includes preparing and filing documents, completing necessary forms and templates, uploading TOR’s in VISION, making logistical arrangements, and keeping vendor lists, partner lists, and consultant rosters up-to-date.
  • Preparing and maintaining records, documents and control plans for the monitoring of project/programme implementation and financial expenditures.
  • Supporting the management of administrative supplies and office equipment.
  • Maintaining the office calendar, arranging meetings, taking meeting minutes, and keeping the team’s correspondence well organized.
  • Making travel arrangements and assisting with entitlements for Director and team members as needed based on the organization’s rules and policies, and liaising with travel focal points to ensure the organization obtains the best service and price for all travel.
  • Maintaining and updating a staff absence monitoring system for unit.
  • Preparing and maintaining records pertaining to programme planning and development for the respective section.
  • Carrying out transactions in VISION to ensure programme results, activities and programme coding are as per annual work plans (AWPs), and making amendments and alterations when necessary.
  • Supporting capacity development activities, staff/townhall meetings and conferences by making logistical arrangements with facilitators, caterers and hosts; arranging times through liaising with participants over availability; liaising with budget focal points and section over costs and needs; and preparing background materials for participants.
  • Supporting a creative, outside-the-box thinking and the chance to bring cutting-edge approaches using new technologies to UNICEF to enhance our systems and ways of working.

To qualify as a champion for every child, the candidate must have…

  • Completion of secondary education in public administration, finance, international relations, political science, or another relevant technical field is required.
  • A minimum of five years of administrative or clerical work experience is required.
  • General Service Staff are recruited locally therefore candidates MUST be US permanent resident/citizen.
  • Prior experience in programme support functions is an asset.
  • Relevant experience in a UN system agency or organization is considered as an asset.
  • Ability to work effectively with people of different national and cultural backgrounds.
  • Experience in supporting office/section managing material resources and monitoring its budget.
  • Experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.
