We are currently looking for a Project Management Specialist to join our team and rise to the challenge of empowering service.Position Highlights:Responsible for overseeing and managing projects within the Convention Division, ensuring the successful execution of various global initiatives, including the annual city-wide international convention and smaller international meetings such as the DGE Seminar and Lions Day at the United Nations. This role works closely with the Convention Division Manager and Project Management Department Manager, coordinating resources, timelines, and deliverables to meet organizational objectives. The position involves managing project scopes, budgets, risks, and stakeholder communication to drive successful outcomes across international meetings and projects worldwide.What You’ll Do:

  • Responsible for implementing, monitoring and updating projects utilizing project management software. Leverage project management tools and software to track project progress, manage tasks, and facilitate team collaboration. Communicate with various project stakeholders on all aspects of the project to ensure success. Identify obstacles, mitigate issues or bring them to the appropriate party for resolution.
  • Responsible for building project plans and serves as Subject Matter Expert for division on project management software. Provides training and assists team members with project management software to track tasks and due dates.
  • Lead reoccurring project calls. Create agendas and distribute notes.
  • In collaboration with the Dept Mgr, Event Project Management, partner with marketing division on development of the convention website, communication and collateral; collect content from convention division stakeholders and follow processes for change requests. Submit documents for translation and save completed files.
  • Collect and organize the staffing requirements for annual convention; contract with outside venders for temporary staff support at convention; partner with Host committee to communicate volunteer needs; serve as point of contact, managing communication with staff working convention specific to details related to travel, assignments, training, etc. Calculate the number of support staff needed. Create schedule of assignments for temporary staff, headquarters staff and volunteers.
  • Oversee ground transportation vendor. Collect, track and communicate requests for private vehicles. Assist in determining hotel shuttle routes by communicating hotel pickup from Registration & Housing stakeholders with vendor.
  • Support other meetings in the planning phase and on-site to ensure operations run smoothly, addressing issues and interfacing with VIP stakeholders, LCI/LCIF staff, vendors, clients, etc. Consult with clients, internal and external, to define objectives and design meeting or event solutions.
  • Prioritize and coordinate a wide variety of duties to ensure the successful execution of projects.
  • Maintain professional and technical knowledge by attending workshops, reviewing professional publications, establishing personal networks, and participating in professional organizations as appropriate to field.

We’re Looking for Someone With:

  • Bachelor’s degree in business administration, communications or related field or equivalent experience.
  • Minimum two to four years’ experience in project management, meeting planning or equivalent combination of education and experience; conference or convention experience preferred.
  • Experience working with Asana, Cvent, and Excel is a plus.
  • PMP preferred.
  • CMP designation is a plus.
  • Open to domestic and international travel; 1-3 trips annually.
