Here’s how you can help. We are currently looking for a Project Management Specialist to join our team and rise to the challenge of empowering service.
Position Highlights:
In collaboration with the Dept Mgr. of Event Project Management, leads the planning, coordinating and execution of special events and meetings during the annual city-wide international convention and other smaller international meetings such as the DGE Seminar and Lions Day at the United Nations. This role also assists the Convention Division Manager and Project Management Department Manager in executing successful meetings worldwide.
What You’ll Do:
- Support Convention division and event project team by creating project plans. Track project deliverables, ensuring deadlines are met. Communicate with various project stakeholders on all aspects of the project to ensure success. Identify obstacles, mitigate issues or bring them to the appropriate party for resolution.
- Responsible for building project plans and serves as SME for division on project management software. Provides training and assists team members with project management software to track tasks and due dates.
- Collect and organize the staffing requirements for annual convention; contract with outside venders for temporary staff support at convention; partner with Host committee to communicate volunteer needs; serve as point of contact, managing communication with staff working convention specific to details related to travel, assignments, training, etc.
- Calculate the number of support staff needed. Create schedule of assignments for temporary staff, headquarters staff and volunteers.
- In collaboration with the Dept Mgr. of Event Project Management, partner with marketing division on development of the convention website, communication and collateral; collect content from convention division stakeholders and follow processes for change requests.
- Support other meetings in the planning phase and on-site to ensure operations run smoothly, addressing issues and interfacing with VIP stakeholders, LCI/LCIF staff, vendors, clients, etc. Consult with clients, internal and external, to define objectives and design meeting or event solutions.
- Prioritize and coordinate a wide variety of duties to ensure the successful execution of projects.
- Maintain professional and technical knowledge by attending workshops, reviewing professional publications, establishing personal networks, and participating in professional organizations as appropriate to field.
We’re Looking for Someone With:
- Bachelor’s degree in business administration or related field or equivalent experience.
- One to three years’ experience in meeting planning, project management or equivalent combination of education and experience; hotel or trade show experience is a plus.
- CEM or CMP designation is a plus.
- PMP preferred.
Domestic and international travel required; 3 trips including International Convention, plus 1-year out and 2-year out site visits.
