This is combined of private houses, flats, freeholds, HMO’s (Houses of Multiple Occupancy) micro units under a single freehold and commercial premises as well. They also carry out their own property maintenance, ensuring that all properties in the portfolio are maintained to a high standard. They pride themselves with providing the highest level of service to all their tenants and new potential providers, no matter how large or small the requirements are. Property Portfolio Manager & Personal Assistant Our clients are seeking a Property Portfolio Manager who is a good all-rounder, who is dynamic, articulate, and confident to step into this newly created role as well as find new systems to use to enhance the way the portfolio is maintained and run as a business. Reporting to the Director, but very much part of the wider team, this is a pivotal role between scheduling, management, finances and minor book keeping of rents, ensuring tenants are always up to date with their payments, and any payment plans agreed are upheld. The right person will be highly motivated, have a keen eye for detail and be confident with coordinating and liaising between departments as well as providing general management. A proven track record of delivering great customer service and administrative skills is essential. It would be beneficial if you have worked in a similar position within the property industry. Receiving incoming calls from tenants and maintenance contractors and responding to their enquiries in a prompt and efficient manner. Frequently reviewing the enquires & Directors inboxes for emails with any instructions/queries from tenants to be responded to and booked-in promptly for maintenance. The inputting of all relevant property information onto the portfolio IT management system. Phoning tenants to confirm dates and times for operatives to carry-out maintenance and general work requirements. Be the central point of contact for tenants on job progress and updates. Building rapport and maintaining good working relationships with tenants and sub-contractors. Working closely with the Accounts Manager to ensure all rents are collected. Providing technical details, documentation, rent statements and details of arrears to any tenants, councils/local authorities, or housing associations as requested. Health and Safety Management of properties ensuring all certification including Gas and Electrical Smoke Alarm certificates are kept up to date. Issue AST tenancy agreements and leases to new tenants or lessors for signing with Director’s assistance. Advertise viewings, and arrange visits for potential tenants. Work with letting agents on a “tenant find only basis” providing details for new property advertisements for the agents. Learn and understand each property within the portfolio to help gain an understanding if there are any maintenance issues (i.e. locations of stopcocks and boilers if there was an emergency). General office & Personal Assistant duties including dealing with directors’ emails and helping them to ensure they are efficient and kept up to date with day-to-day operations Carry out annual visits on the portfolio with the director to ensure tenants are looking after properties and also plan potential maintenance on inspection findings.
