Summary

We are seeking a Receptionist and Client Experience Coordinator to join our team at Colliers. As the first point of contact for clients and visitors, you will play a crucial role in providing exceptional customer service and maintaining a welcoming environment. In addition to traditional reception duties, you will be responsible for the upkeep and performance of our client amenities and conferencing areas, ensuring they reflect Colliers commitment to excellence.

Job Description

Responsibilities:

Greet and welcome clients and visitors with professionalism and warmth.

Manage incoming calls and direct them to the appropriate person or department.

Maintain a tidy and organized reception area, including the client serving area and café.

Oversee the cleanliness and functionality of client amenities, such as lounges, conference rooms, and common areas.

Coordinate scheduling and setup for client meetings and events, ensuring all equipment and supplies are available.

Assist with administrative tasks, such as sorting mail, managing courier deliveries, and maintaining office supplies.

Monitor and replenish café supplies, including beverages, snacks, and utensils.

Collaborate with facilities and maintenance teams to address any issues or repairs in client-facing areas promptly.

Uphold company policies and procedures related to security, confidentiality, and health and safety.

Continuously seek opportunities to enhance the client experience and suggest improvements to amenities and services.

Qualifications:

Previous experience in a receptionist or customer service role preferred.

Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues.

Strong organizational skills and attention to detail.

Ability to multitask and prioritize responsibilities in a fast-paced environment.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Knowledge of basic office equipment and copiers.

A proactive and self-motivated attitude, with a commitment to delivering exceptional service.

Flexibility to work occasional evenings or weekends for special events or projects.

Education:

High school diploma or equivalent required. Additional certification in hospitality or office administration is a plus.
