Indigenous / First NationsResponsibilities

  • Operating the United Cloud System switchboard, including receiving all incoming calls, promptly and

politely assisting the callers, call hold procedures when several incoming calls are coming in. * Retrieves messages from voice mail and forwards to appropriate personnel.

  • Takes and delivers messages or transfers calls to voice mail to appropriate personnel.
  • Answers questions about organization and provides callers with address, directions, and other information.
  • Welcomes visitors and clients, determines nature of business, and announces visitors/clients to appropriate personnel.
  • Incoming calls are directed to the Administrative Client Services Assistant for answering inquiries about the organization, programs, services and calls that are confidential in nature or funding related inquiries are directed to Career Development Practitioners.
  • Ensured that clients appointments (phone or in-person), students, workshop participants or visitors check in at reception and fill out sign in slip then enter Client Flow Sign in Sheet Excel Spreadsheet (located on computer desktop).
  • Following protocols for setting up client appointments utilizing Outlook Calendar and relaying information on the online registration process utilizing our website or if the clients prefer a phone registration process.
  • Email distribution for information of events, job postings, educational or training information, and any other items that require attention.
  • Updating job board and community information boards.
  • Keep the reception and computer lab areas clean and tidy.
  • Printing and maintaining supply of forms required by the career development practitioners and preparing client files for the career counselors.
  • Call and confirm with clients all appointments for the next day
  • Log all incoming and outgoing mail
  • Put the clients name and email in the Client email database.
  • Get every client to fill out a Survey hard copy at the office or using our website, and then log the results into excel spreadsheet.

EDUCATION REQUIREMENTS:

  • Must have customer service experience.
  • Must be organized and can prioritize duties.
  • Pleasant personality, the ability to work with Indigenous people, staff, and the public.
  • Proficient in Microsoft Excel spreadsheets and Outlook Mail & Calendar experience, with Internet research knowledge.
  • Grade 12 or previous Receptionist experience would be an asset.
  • Office Operations: Monday to Friday from 8:30 am to 4:30 pm – Closed on Holidays
