If you want to feel listened to and understood in an environment where your opinions count and bright ideas are encouraged, you’ve come to the right place!In our recent engagement survey 93% of our employees stated they were proud to work for British Land!THE ROLEThe Regional Facilities Coordinator role is to support the Regional Facilities Manager (RFM) and/ or Centre Manager (where applicable) and the property management operations at multiple assets, supporting all health and safety, procedural and financial compliance functions across the sites and its associated buildings.The role, primarily, is to provide support to the RFM with all health and safety compliance functions across the assets, liaising with occupiers to enhance compliance and engagement with centre operations such as occupier Fire Risk Assessment control, providing support across all systems, supporting the Regional Facilities Manager with their day to day duties including the scheduling of works, purchase order management, control of contractor work permits and other duties both within the property management team and in support of the asset and wider business.WHAT YOU’LL DO
- Support the RFM in reviewing and monitoring contractor work permits, site risk assessments and landlord compliance measures using approved web-based platforms and systems.
- Under instruction from the RFM, assist with the raising and issuing of purchase orders, ensuring that expenditure is aligned with budgets and where applicable, assisting in obtaining alternative quotes from contractors.
- Assist in managing the accurate reporting of environmental and social sustainability compliance in line with the asset business plan and corporate directive.
- Ensure all CCTV and data requests are actioned within the permitted time frame.
- Organise and coordinate weekly tasks in collaboration with the RFM providing administrative support for each asset such as maintaining and updating emergency occupier contact lists and monitoring contractors and documents using web based electronic records.
- Ensure that all property management, incident management and disaster recovery documentation is maintained and kept up to date in accordance with British Land policy.
- Ensure occupier compliance documents, such as Fire Risk Assessments are in place and health and safety actions are followed up.
- Enhance customer engagement across the asset driving the use of BL: comm with occupiers and supporting effective communications across the asset including partners, contractors, occupiers and visitors.
- Monitor the performance of the soft services provider in readiness of monthly KPI meetings and report back to RFM on any concerns.
- Duties required within the property management team to support the compliant operations of the asset, completing any requests for information from the senior property team.
ABOUT YOU
- Strong written, verbal communication and IT skills
- IOSH, legionella and asbestos management as a minimum qualification
- Experience of working within the facilities management industry
- A strong desire to get things done and deliver at pace
- General understanding of Health and Safety legislation and fire regulations
- Attention to detail and excellent organisational skills
- Ability to liaise and communicate effectively with the property management team, site staff and contractors.
- Ability to interpret and understand the business.
- Valid UK Driving License
