What is the opportunity?

RBC Dominion Securities is looking to hire a Regional Branch Operations Manager for the Alberta and Prairies Region. You will be responsible for coordination of the day-to-day management, administration, communication, and operational functions supporting the Regional Director. In addition, you will play a key role in assisting Branch Directors, and Branch Operations teams across the region with various inquiries involving operational issues, HR, compliance, and client inquiries.

As the first point of contact for prioritization, coordination, and booking of activities you will be responsible for ensuring the highest level of professionalism and communication while managing multiple and often conflicting deadlines, commitments, and projects.

This role is based out of Calgary, AB in our Downtown Office – on site.

What will you do?

  • Support Regional Director (daily administrative duties, generating various reports, presentations, meetings, branch visits and events)
  • Manage and provide support on projects and initiatives, including implementing plans, maintaining systems, tracking progress, facilitating communication, and following up on action items.
  • Responsible for coordinating and organizing all meetings, events and regional conferences.
  • Manage all phone calls, by proactively responding to correspondence or requests and prioritizing key areas requiring attention and/or action.
  • Manage calendar bookings, sending both one off and recurring meetings. Proactively reviewing to ensure preparedness for upcoming week(s) schedule, including booking travel and accommodations
  • Act as liaison between Branch Directors, Branch Operations Managers, Regional Director and Head Office, and Banking Partners.
  • Responsible for sending all regional communication to Branch Directors and Branch Operations Managers for further distribution to all staff in the Region (Branches and Sub-branches)
  • Coordinates all travel plans, creates expense reports, and coordinates all other material related to travel, including conference documents and agendas. Maintain and submit expense claims and statements.
  • Schedules regional weekly and monthly meetings with Branch Directors, Branch Operations Managers, and guest speakers.
  • Lead Regional Performance Committee, review, submit and communicate Quarterly and Annual recognition awards.
  • Organize and administer Branch Campaigns in the region, to support and encourage firm strategic initiatives.
  • Track regional charitable giving initiatives and donations.
  • Monthly, quarterly and annual financial reports for the Region
  • Assist in regional audit requests and ensure all branches submit compliance requirements on a timely basis and maintain regional related files (Staff, Litigation, Complaints, Regional KVS)
  • Review the regional P&L reports on the monthly basis, query and investigate entries and adjust wrongfully charged entries with the correct department. Facilitate the approval of expenses entered through the Concur application. Ensure invoices are sent to Accounts Payable after proper review has been done by the Regional Director.

What do you need to succeed?

  • Completion of the Canadian Securities Course (CSC) and Conduct and Practices Handbook (CPH)
  • 3-5 years of experience in the investment industry
  • Experience working at RBC Dominion Securities or another IIROC investment firm, ideally as a Branch Operations Manager or Associate
  • Master multi-tasker with outstanding organizational, and communication skills and the ability to proactively take on tasks, and project work.
  • Highly motivated self-starter with superb attention to detail, provide exemplary communication (verbally and in writing), and customer service skills.
  • Strong working knowledge of MS Office Suite including Excel, Word, and PowerPoint
