In this role you will:
- Process expenses for payment, including: coding invoices; ensuring monthly invoices are received in time for processing and GPO deadlines; self-assessing HST where required; ensuring compliance with divisional signing authority limits and corporate expense policies and procedures; monitoring and reconciling daily GL reports; preparing entries for amortization schedule; preparing, processing and coding re-accrual entries; work with colleagues to coordinate the distribution of invoices and follow-up with staff across the department regarding outstanding invoices; tracking and resolving accounts payable issues; verifying and approving vendor invoices issued through SmartBuy; creating purchase orders in SmartBuy; reviewing daily Coupa reports and updating the budget tracker when needed; ensuring all calculations are correct
- Support the maintenance of the budget tracker including: entering information from Coupa report into the budget tracker; preparing, coding and posting invoice information into the tracker; verifying expense information in Smartstream and the tracker is aligned; and reconciling GL reports
- Manage the record keeping of expenses by saving the invoices electronically in the shared folder
- Analyze the monthly actual spend by reviewing the invoices, collaborate with the business lines and other transits to allocate charges
- Provide operational support to Marketing’s senior management team including, but not limited to: operational risks and related risk management activities; Business Continuity Planning; Procurement; Audits; Enterprise Regulatory Compliance Management; Risk and Control Self-Assessment; NIRA; Records and Information Management; and Business Environment & Internal Control Assessments
Do you have the skills that will enable you to succeed? We’d love to work with you if you have:
- University degree with Major in Business, Accounting or Marketing an asset
- 1-3 years of experience in financial management and/or accounting operations and administration
- Strong Excel skills
- Excellent communication and interpersonal skills
- Ability to build strong relationships with a diverse range of stakeholders including departmental management
- Strong planning and co-ordination skills required to simultaneously support multiple projects and complete deliverables on time
- Detail-oriented worker who seeks perfection
