Job SummaryJob DescriptionWhat is the opportunity?This position will be part of the Wealth Management Canada Chief Administrative Officer’s team reporting to the Director, Strategic Initiatives. This role will be responsible for providing administrative support to the team for various initiatives and the delivery of projects.The successful administrative assistant possesses structure, attention to detail, quality focus, high energy and flexibility in a fast-paced deadline driven environment. In this role, you will need to work well in a team environment, act with professional courtesy and acumen, and deliver flawless work output. You will interact with members of the team as well as employees in our Wealth Management Canada branch network nationally. A high standard of service must be maintained by taking ownership and accountability, prioritizing incoming inquiries and highlighting issues requiring immediate attention.What will you do?
- Maintain the Wealth Management Canada Real Estate SharePoint site – including adding/removing access, posting content, and updating all content as required
- Assist with producing project milestone reports for key Wealth Management Canada real estate initiatives
- Submit real estate work orders as requested, and manage the email inbox for real estate requests
- Request reports from partner and pulling information from key RBC systems as directed
- Assist the team with updating floor plans for all Wealth Management Canada locations
- Handle expense reports for all Council trips and conferences for the business
- Assist with the optional executive medical program including creating the annual letter to all eligible employees and assisting with question on expense reimbursement, and take minutes at various meetings
- Assist with creating/maintaining spreadsheets and presentations
- Collaborate with other team members to support and provide overall coverage
- Assist with other ad hoc activities and projects as requested
What do you need to succeed?Must-have
- 3-4 years providing administrative support, ideally within finance industry (wealth management preferable)
- Bachelor’s degree or equivalent in business, finance, or related field
- Ability to work in a dynamic, fast-paced environment
- Ability to take initiative, prioritize tasks, function independently, and work collaboratively as part of a team
- Superior attention to detail, effective organizational skills, and strong time management skills with the ability to handle multiple initiatives/tasks on an ongoing basis
- Excellent interpersonal, communication (written and verbal) skills
- Exhibit sound judgement and decision-making abilities
- Proficient with Microsoft applications such as Outlook, Word, Excel, PowerPoint
- Comfortable learning new technology quickly to adapt functionality to business needs

- Some knowledge of project management disciplines
- Strong service orientation with an ability to develop and maintain relationships at all levels within the organization
