Who we are
Undergraduate Strategic Partnerships collaborates with the College Advising Corps (CAC) to ensure every student has an opportunity to enter and complete college. We serve more than 50 high schools spread across the state in Dallas/Fort Worth, San Antonio, Houston, Brazos Valley, and Rio Grande Valley regional areas. In an effort to increase the number of low-income, underrepresented, and first-generation students pursuing higher education, the Texas A&M program hires, trains, and places exceptional recent college graduates from all fields of study to serve as full time, near-peer college advisers in underserved high schools.
What we want
The Senior Administrative Coordinator I, under direction, is responsible for coordinating administrative support to multiple positions and programs within the Undergraduate Strategic Partnerships Unit. This role provides direct support to the Director of Undergraduate Strategic Partnerships. This role provides office management, budgeting, reporting, coordination, supervision of workers, and event coordination support as needed. The Senior Administrative Coordinator I is responsible for the full range of administrative support for the Advise TX program and Brazos Valley Promise program. Is responsible for maintaining training materials, statistics, records and data reporting to program partners, donors, and program leadership.

Qualifications:
Required Education and Experience:

Bachelor’s degree or equivalent combination of education and experience.

Six years of experience in office administration.
Required Knowledge, Skills, and Abilities:
-
Knowledge of word processing, spreadsheet, and presentation applications.

Ability to learn and effectively use other platforms that are more specific to the University.

Ability to compose a variety of correspondence.
-
Maintaining confidentiality and handling sensitive matters with discretion and tact.

Interacting with students, faculty and staff at all levels in a courteous and efficient manner.

Planning, organizing, prioritizing and executing tasks.

Initiating and completing work without instruction.

Ability to communicate effectively both orally and in writing.

Ability to multi-task and work cooperatively with others.
Preferred Qualifications:

Administrative experience in a higher education setting.

Administrative non-profit reporting experience.

AmeriCorps Grant Administration Experience

Bilingual in English and Spanish preferred.

Experience with Concur and Workday systems.

Proficient in Microsoft suite products (e.g., Word, Excel, PowerPoint) and Outlook.

Experience with America Learns System

Experience with GRACE CRM System
Essential Duties/Tasks:
Administration – Coordinates administrative support for the Advise TX and Brazos Valley Promise Programs under the direction of the Director of Undergraduate Strategic Partnerships. Provides direct support to the Director of Undergraduate Strategic Partnerships. Coordinates meetings with various campus administrative personnel. Drafts letters and memorandums and proofs for grammatical errors. Communicates with high school and district staff and provides support as needed. Plans and provides logistical and administrative support for events, meetings, or other special functions. Manages projects which may require analyzing and research projects or initiatives. Coordinates with the National College Advising Corps and Texas Higher Education Coordinating Board as needed. Prepares and develops materials for meetings and presentations. Edits and proofreads publications. Supervises assigned staff, plans work, and determines work priorities. Makes recommendations for process improvements, administrative changes, or new initiatives. Responsible for all maintenance and reporting on UGSP vehicles.
Data Collection/Report Generation – Keeps records of monthly reports and budgets. Performs data collection, compilation, and statistical computations as needed from internal and external entities. Performs data entry into SLATE and GRACE. Performs SLATE and GRACE platform management for recruitment and Advise TX. Is responsible for maintaining training materials, statistics, records and data reporting to all 23 school districts, 9 donors, and program management. Manages the shared folders and storage for the Brazos Valley Recruitment Team and the Advise TX program.
Other Communications – Works with accounting, contracts, and recruitment to assist both the Advise TX program and Brazos Valley recruiters. Communicates on behalf of the Director of Strategic Partnerships with internal and external parties. These parties include our 23 school districts across the state of Texas, 9 donors, Texas A&M recruitment staff, and Advise TX program staff.
Grant Management Support – Builds and helps prepare grant reports for multiple donors, those include THECB, TEA, TWC, College Advising Corps, Greater Texas Foundation, and the OneStar Foundation.
