Position OverviewThe Senior Associate, Operations will provide high-level executive support to the Vice President of Global Health Strategy at the UN Foundation and will assist the Global Health team with administrative and operational tasks. They will play a key role in team planning, ensuring efficiency, and managing special projects to advance team objectives.In this role, the Senior Associate will help execute leadership operations, collaborate with other teams to coordinate activities, and serve as a liaison between the Global Health team and external organizations. They will proactively address administrative challenges, oversee budget, and expense management.Reporting to the Vice President of Global Health Strategy, the Senior Associate will be an integral member of the Global Health team, offering broad support to both leadership and team initiatives as needed.This role is based in Washington, D.C. (hybrid schedule).Essential FunctionsAdministrative Support for the Vice President of Global Health Strategy
- Manage the Vice President’s daily and long-term schedule, including travel coordination, expense tracking, and meeting management with internal and external stakeholders.
- Prepare briefing materials, communication documents, and presentations, ensuring the Vice President is well-prepared for meetings.
- Draft, compile, and manage correspondence, reports, and administrative documents, including financial, statistical, and budgetary reports.
- Track and follow up on action items, assist with project coordination, and oversee administrative processes to optimize efficiency.
- Oversee and improve administrative resources for the Vice President, including space planning, procurement, and budget monitoring.
- Serve as a key problem-solving resource, providing guidance and troubleshooting issues with internal and external stakeholders.
- Support special projects and strategic initiatives that contribute to the overall success of the Global Health team.
Administrative and Operations Support for the Global Health Team
- Coordinate internal team meetings, including scheduling, agenda preparation, note-taking, and tracking action items.
- Maintain and update the Global Health calendar, including major global health events like the World Health Assembly and UN General Assembly.
- Support operational process improvements, including strategic planning, project management, and developing tracking tools.
- Assist with grant and contract management by staying up to date on UNF policies, coordinating reporting, and tracking agreements in Salesforce.
- Serve as the team’s Salesforce Champion, ensuring contact information updates and database maintenance.
- Provide logistical and administrative support for external meetings and events (5-8 per year), including guest coordination and security procedures.
- Act as the Global Health Team’s front desk liaison, managing incoming calls, mail distribution, and visitor access.
- Coordinate across Foundation teams as needed to streamline team operations and support cross-functional initiatives.
- Ensure timely and accurate reporting by collecting inputs, preparing narratives, and finalizing updates for leadership and strategic planning teams.
- Other administrative duties as assigned.
Selection Criteria
- Bachelor’s degree required.
- At least two years’ experience providing executive level administrative support, logistical support, and/or project management/business operations support.
- Experience managing complex schedules.
- Excellent verbal and written communication skills.
- Attention to detail and high degree of organization.
- Meeting and event planning experience is preferred.
- Proficiency in Microsoft Word, Excel, Access, and PowerPoint.
- Graphic design experience is preferred.
- Excellent telephone etiquette, and interpersonal relationship skills required.
- Ability to work independently as well as a member of a team.
- Demonstrated ability to prioritize multiple competing priorities.
- Ability to take initiative; self-starter.
- Ability to meet regular attendance/tardiness policy.
- Willingness to travel internationally (up to 30%).
- Demonstrated interest in international affairs and the work of the United Nations.
