Posting End Date 03/03/2025Purpose of JobThe Senior Officer contributes to the smooth running of the team by providing administrative and/or budget-related support to team members, interacting with colleagues Bank-wide, as well as external clients and institutions.BackgroundEPMU (Equity Portfolio Managment Unit) is the point for all matters relating to equity portfolio management for both direct equity investments and equity funds, and provides a platform of consistent guidelines, reporting, valuation, analysis and reporting across the Bank. The Senior Officer role provides administrative support to the team, including some or all of the following: research, data capture and analysis, travel arrangements, procurement, meeting and event arrangement. The Senior Officer position will include Budget, Records Management, Human Resources and IT coordination.This role will involve dealing with the departmental Director, Managers and other colleagues within the team; other EBRD departments; and clients.ScaleThe Senior Officer undertakes some or all of the following:

  • Provide support to EqCom Secretariat and departmental contribution to Bank Committees
  • Budget management
  • The Senior Officer manages their own tasks, dealing with queries and resolving issues independently (escalating more complex issues to their line manager)
  • Main interfaces are with the departmental Director, Managers and team members, the Finance department, OGC, OCCO and other Bank’s teams as and when necessary ; and external contacts such as consultants and suppliers
  • No line manager responsibilities.

Accountabilities and Responsibilities:The Senior Officer has some or all of the following accountabilities and responsibilities:Administration:

  • Assist the EqCom Secretariat with preparation, editing, distribution and filing of internal documents for EqCom (and other Bank’s committees where applicable) and manage monthly EqCom submission tracking and KRI’s
  • Manage the MNPI checks process; liaise with the relevant banking teams and OCCO
  • Act as IT Coordinator (ITC), Records Management Coordinator (RMC) and Human Resources Departmental Coordinator
  • Maintain and manage data in EBRD-specific applications to ensure accuracy of Bank records and liaise with Communications to ensure the accuracy of all the team’s intranet pages
  • Coordinate all required facilities, catering and technical assistance for internal/external meetings/training sessions, including venue sourcing, as well as billing arrangements
  • Identify opportunities to improve departmental processes and outputs to ensure they are kept up to date and fit for purpose
  • Arrange all elements of travel according to EBRD policy including arranging visas, accommodation, ordering currency and preparing itineraries as well as claiming expenses
  • Diary management – arranging internal and external meetings, conference calls and responding to meeting requests on behalf of the team and/or line manager

Consultancy:

  • Manage the processing of consultant contracts, including organising of invoicing and payments, to ensure the process runs smoothly
  • Process and track Nominee Director appointments (ICAF/ECAF)

Budget:

  • Proactively manage and monitor the budget and review all charges to the team’s budget, either as Budget Officer or Alternate Budget Officer, to ensure the accuracy of all financial details and compliance with the Bank’s procedures

Reporting:

  • Assist with the production of reports and presentation material, undertaking secondary proof-reading and editorial work Perform specific data-based analytical work to provide Managers with essential information for the production of reports, with specific responsibility for monthly reporting for Nominee Director

Knowledge, Skills and ExperienceAcademic Qualifications

  • A degree and/or equivalent business experience, recognised secretarial or business qualification would be useful, but is not essential
  • Fluent English, with excellent written and oral communication skills

Experience/Knowledge

  • Self-motivated with the ability to work independently and to prioritise and schedule tasks
  • Excellent written and oral communication skills
  • Relevant experience in a similar role
  • Good level of numeracy
  • Strong organisational, administrative and analytical skills
  • Attention to detail and eye for accuracy

Technical Skills

  • Computer literate: Windows, MS365 (Microsoft Outlook, Word, Excel, PowerPoint)
  • Proven skills to draft business correspondence and documents, summarise information in written narratives and presentations including textual, numeric and graphic/charts parts
  • Knowledge of SAP desirable but not essential in all cases
