Responsibilities:Posting Expires: 8/28/2024Salary: $43,491 – $54,418General Description and Classification Standards:The Department of Public Works (DPW) Special Projects Coordinator (G.18) will serve as a key knowledge worker supporting critical initiatives for the department specific to the Commissioner’s Office. The Special Projects Coordinator (PC) is responsible for supporting DPWs Project Managers and Commissioners Office directly on all operational engagements and key departmental initiatives and formal projects. This includes managing such efforts. The PC is responsible for ensuring the schedule, budget and details of a given task are within adherence. They communicate to help keep project teams aligned and all participants engaged for operational success. They communicate clearly and concisely, both orally and in writing; establishing and maintain effective working relationships to the benefit of the organization. This is all done having the perspective and understanding of DPW’s goals and vision.Supervision Received:This position receives guidance regarding overall mission, short and long-term objectives, scheduling, unusual priorities, and is expected to structure their workday to accomplish established goals for self. This position can work independently or as part of a team that engages on critical projects, key technologies, and overall departmental operations defined by the Commissioner’s Office. Direction received is very general and focuses on clear objectives and is typically collaborative.Essential Duties & Responsibilities: these are typical responsibilities for this position and should not be construed as exclusive or all inclusive.   • As a key knowledge worker, be committed to work harmoniously with others in the Department and other organizations and ensuring that the day-to-day activities are handled.
  • Help develop recommendations to streamline processes, improve resource allocation, and leverage technology.
  • Work as a contributor on cross-functional projects using analytical techniques to discover insights that will guide strategic decisions and uncover optimization opportunities.
  • Help define project requirements, scope, and objectives; ensuring that all needs are met as the project evolves.
  • Work with critical resources on all types of department initiatives and projects, from simple activities to more complex plans, working closely with Project Manager.
  • Perform various project coordination and management tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and filings.
  • Have excellent time management and communication skills, as you’ll collaborate with external and internal teams to deliver results on deadlines.
  • Help to perform quality control on the project throughout development to maintain the standards expected throughout project lifecycle.

Decision Making:

  • Provides input regarding decisions that impact projects relating to DPW.
  • Follows standardized procedures and written instructions to accomplish assigned tasks.
  • Applies organizational policies; recommend strategy or policy changes.
  • Provides guidance as required to less experienced staff, interns, temporary employees, etc.

Leadership Provided:This role functions as a Key Individual Contributor or as part of a work group. Routinely provides knowledge-based guidance, and/or training to less experienced staff in relation to projects and key departmental initiatives as defined by the Commissioner’s Office.Requirements (Knowledge, Skills & Abilities):

  • Detail oriented with excellent communication, including writing, speaking and active listening.
  • Good project coordinator skills, including organization, planning, time management and prioritization.
  • Proven ability to solve problems creatively, having accuracy and attention to detail. Team-working skills with good verbal and written communication having ability to organize and manage time effectively, demonstrating accountability and dependability.
  • Must be a Self-starter, self-motivated with demonstrated ability to work independently. Has critical thinking skills with effective judgement and decision making.
  • Strong familiarity with project management software tools, methodologies, and best practices.
  • Proven ability to coordinate projects according to outlined scope, budget, and timeline.
  • Working knowledge and understanding of Microsoft O365.
  • Multitasking skills, ability to work under pressure. Ability to handle deadlines and avoid schedule conflicts.

Qualifications:Minimum Qualifications – Education and Experience:

  • Have an applicable Associate Degree in Management, Economics, Math, Statistics, Computer Science, or Technology related fields.
  • Extensive experience (2+ yrs.), critical training completions, related course(s) completion, and pertinent certification(s) may serve to substitute collegiate degree obtainment.
  • Minimum of 1 ½ year experience in project management or administration experience is required.
  • Technologically sufficient skills in Microsoft Office Suite

Nice to Have – Noted as a Plus:

  • Bachelor or Masters degree in business or technology related field.
  • Extensive Knowledge in Microsoft Office Suite.
  • Extensive Knowledge of Software Systems- ServiceNow, PowerBI, Hansen, Accela, and Rubicon.
  • Extensive Knowledge in Microsoft Project or other Project Management Software.

Licensures and Certifications Desired but not required:Lien ManagementSix Sigma (White, Yellow, Green, or Black)Project Management Professional (PMP)Essential Capabilities and Work Environment:This hybrid work position is considered essential and thereby requires, on occasion, that the incumbent work outside of normal operating hours, which may include evenings, weekends, and holidays, as well as during inclement weather and/or times when the city would otherwise be closed.
