What You Will Do:
Guidehouse is currently supporting the Department of Justice’s Office on Violence Against Women, who provides federal leadership in developing the national capacity to reduce violence against women and administer justice for and strengthen services to victims of domestic violence, dating violence, sexual assault, and stalking. Guidehouse’s support is within the scope of Operational Management and we are seeking skilled Special Projects Coordinators to work directly with Program Division leadership. The person in this role will perform duties within the following areas:
Collaborate on special projects with OVW Program Divisions
Organize, manage, and assist with facilitation of internal working groups
Create organizational systems to ensure the OVW Program Divisions function effectively
Review for clarity and copy-edit a variety of documents
Assist with gathering, evaluating, and compiling a variety of data – including by editing and revising charts – for Congressional reports, budget submissions, and other projects
Maintain units’ grant cycle calendar for each program and assist Program leadership with various aspects of the grants lifecycle including:
Update deliverables as requested (Applications, Peer Review, Solicitation Chart, New Grantee Orientation attendance (NGO), Disability deliverables, Underserved deliverables, Implementation Plan (IP) status, and other tracking charts, etc.)
Prepare site visit or office-based review documentation for grants as requested
Monitor funding mailboxes (STOP, SASP, Disability, Underserved, State Coalitions)
Assist in the planning of significant events such as NGOs, unit retreat, and other annual meetings or trainings as applicable
Collect and distribute closeout information
Coordinate and manage Associate Director, Team Lead, and OVW Program Division calendars as well as looking several weeks ahead to avoid double- and/or over-booking and providing materials in preparation
Prepare travel arrangements as requested
Attend unit and program meetings as requested to take notes, provide status updates, manage due outs, and track ongoing deliverables
Assist unit with reserving equipment and conference rooms for presentations and in-office meetings
Maintain and organize unit digital spaces, including G Drive, SharePoint, and Teams channels
Maintain absolute confidentiality about sensitive DOJ policy, programmatic, and administrative issues
What You Will Need:
US Citizenship and the ability to obtain and maintain a federal Public Trust.
Bachelors degree
A minimum of 4 years’ relevant consulting and/or experience in the Federal Government grants, grants management, financial management, budget, project management, process improvement or human capital
Highly proficient in Microsoft suite (Word, Outlook, PowerPoint, and Excel)
What Would Be Nice To Have:
An ACTIVE and CURRENT SECRET federal security clearance
Experience supporting Federal grants management processes and procedures
Highly proficient in (preferred previous professional use of) Microsoft suite (Word, Outlook, PowerPoint, and Excel) and Adobe Acrobat
Familiarity or knowledge of UFMS, JustGrants, or similar type systems and how to extract and use the data contained within these systems
Demonstrated problem-solving, organizational, and time management skills
Ability to manage and prioritize tasks to meet deadlines
Proactive planning and scheduling instinct
Extremely detail-oriented
Exceptional note-taking ability
Written and oral communication skills
Ability to work independently and with others, including strong relationship-building skills
