NYC estimated salary for this position is $61,989 based on an hourly rate.Specialist, Donor Revenue ManagementPosition DescriptionReporting to the Deputy Director of Donor Revenue Management & Policy, the Specialist will manage the accurate and timely processing and tracking of gift contributions from various revenue streams. Responsibilities the Specialist will maintain include the preparation of batches for deposits and data entry, administering gift adjustments, providing reconciliation support, and constituent record management.Responsibilities:Gift Processing (70%):

  • Process the accurate and timely entry of individual gifts from various revenue streams, including corporate partnerships, individual donors, inspired gifts, sustainers, and tributes.
  • Manage rejected gift adjustments, such as returned checks, debit and credit notes and chargebacks, as well as donor requests for refunds as needed.
  • Administer file transfers through the sorting of images and correspondence with responsible parties to ensure the accurate coding of gifts received; sort all mailed items received through third party vendors.
  • Prepare batches for deposits by category and ensure accurate data entry to process new revenue records.
  • Review gift transmittal documentation to confirm required fields for accurate processing are captured, including appeals, fund codes, revenue team, and pledge/payment details.
  • Investigate and resolve internal revenue inquiries and clarifications in collaboration with colleagues from across Philanthropy and Finance.
  • Prepare individualized gift data for manual entry as well as bulk transaction uploads into the CRM.

Reconciliation & Record Management: (30%)

  • Maintain donor record management per direct donor inquiry and requests, such as deceased notifications, address changes, undeliverable mail, name changes, etc.
  • Correspond with donor relations and other departments as needed to handle all special requests received and update constituent records as part of best in class stewardship.
  • Provide reconciliation support for deposits, bounced checks, chargebacks and web reconciliation items for close periods and audits.
  • Prepare backup documentation and reporting for ongoing financial requirements and operations support.

Other duties as assigned.Physical Requirements

  • The Specialist role requires substantial computer work and will be expected to maintain a remote professional environment.
  • There may be occasional in-office requirements that involve in-housing gift processing.
  • Regularly moving items up to 25 lbs in weight within the office may also be required.

Minimum Qualifications

  • X years of hands-on experience in computerized gift processing, billing, or related data entry work, or the equivalent combination of education and experience
  • Fluency in revenue processing using CRM technologies (BBCRM) and financial management systems (NetSuite), inclusive of batching, keying, depositing, and reconciling revenue contributions; strong understanding in query logic techniques and tools used to modify, retrieve, and report data from donor database management systems; advanced reporting and/or query-building experience (SQL desired);
  • Mastery/advanced proficiency with Microsoft Office (Excel, Power-point, Word) programs;
  • Strong oral and written communication skills and the ability to collaborate strategically, creatively, and analytically with colleagues at a variety of levels across the enterprise
  • Highly organized individual with strong management and delegation skills, including the ability to prioritize and manage deadlines and do the same for a team;
  • Knowledge of industry standards, IRS regulations, and organizational policies required
  • Scrupulous attention to matters of discretion and confidentiality required; ability to handle highly sensitive information appropriately and maintain confidentiality with donor information; knowledge of and adherence to ethical statements and guidelines by Apra, the Association for Advancement Services Professionals (aasp), the Council for Advancement and Support of Education (CASE), and other related associations;
  • Expertise in aasp’s Best Practices for Gift Administration and Information Management and demonstrated experience leading these efforts in a fundraising environment;
