We are looking for a Supervisor of the ATOM Support Team to be responsible for the overall company use of the records repository, including monitoring the health of the system, training users in using the application, adherence to proper Information Management processes, and overseeing improvement projects within the tool. - Develop and implement project priorities, strategies and programs in short, medium and long-term timeframes to meet the diverse needs of key stakeholders and communities.
- Managing vendor relationships.
- Ensure timelines and deadline commitments are achieved, with consideration to adequate resourcing and capacity management
- Ensure monthly audits of the ATOM platform are completed, analyzed, and results disseminated.
- Identify trends in company recordkeeping to inform training and system improvement opportunities
- Oversee the creation of documentation and delivery of training in support of the ATOM system.
- Develop and implement processes to manage restricted areas.
- Oversee licensing requirements.
- Manage metadata field listings within the tool to provide current values for all users.
- Prepare and deliver effective communications to all levels of CNL through face-to-face meetings, formal presentations, email, and phone.
- Interact with different levels of stakeholders, to foster open communication and constructive dialogue around records management processes and value.
- Act on behalf of senior member of Information Management leadership during planning and prioritizing with the business.
What we are looking for:
- College degree or related discipline
- Three to five (3-5) years of experience in project work related to records management and document control, including two years of direct supervisory experience.
- Experience providing a proactive and supportive approach for implementing process efficiencies for the creation, maintenance, and disposition of records and documents within a records repository.
- Experience training users on records management processes.
- Knowledge of core records management principles, such as document control and records management processes.
- Demonstrate project management, leadership, mediation, investigative, report writing/editing, research and presentation skills.
- Effective communication in writing and oral, to communicate changes to and provide training for different stakeholders in the company.
- Strong communications and reporting skills.
- Recognize problems and critically analyze to determine appropriate path forward, including gathering information, sorting through complex issues, seeking input from others, addressing root causes of issues, making timely decisions, and communication decisions to others.
- Compromise, handle conflict, seeking common group, articulate goals, and stay focused on positive outcomes.
- Ability to incorporate the organization’s core competencies into day-to-day operations including customer service, communication, teamwork, initiative/self-management, accountability and flexibility/adaptability.
- Adapt to change, is open to new ideas, takes on new responsibilities, handles pressure, and adjusts plans to meet changing needs.
- Ability to work independently to develop, coordinate and maintain procedures and manuals.
- Ability to exercise appropriate judgement and discretion in dealing with confidential and/or potentially controversial information
- Three to five (3 to 5) years experience in functional administration of the OpenText Content Server platform
- Good understanding of CNL’s Management System, Document Hierarchy and requirements flowdown
- Familiarity with the Project Management Lifecycle
Security clearance eligibility required: Level 2 Secret which has a minimum requirement of 7 years of verifiable history in Canada, Australia, New Zealand, United States and/or the United Kingdom. Location of Work – Remote
- This role is based out of CNL’s Chalk River site, however the primary work location will be remote. Although this role is considered to be fully remote, presence at the Chalk River site may be needed on occasion and will be determined by the manager, based on internal client and project needs. CNL may require travel from time to time, as necessary.
