We are seeking an experienced Technical Assistant/Project Administrator for our oil & gas operator client based in the city centre of Aberdeen. Candidates should be experienced in providing document control, document formatting, data analysis and reporting. This will be an initial 12-month contract with the potential to extend. 3/2 hybrid work pattern and car parking on site.

Responsibilities:

  • Prepare, edit, and format technical documents, reports, presentations, and correspondence related to oil and gas projects.
  • Organize and maintain electronic and physical filing systems for technical documents, ensuring easy retrieval and confidentiality.
  • Compiling technical reports, presentations, and documentation summarizing project findings, results, and operational performance. This might include Board meeting presentations, Well Operatorship Appendix C documents, FDP collation, proof reading documentation prior to presentation to Gov’t authorities.
  • Collaborating with team members to ensure timely and accurate reporting to internal stakeholders and regulatory authorities.
  • Act as a liaison between technical teams, clients, suppliers, and other stakeholders, facilitating effective communication and collaboration.
  • Assist in collecting, organizing, and maintaining technical data, including engineering drawings, specifications, and project documentation.
  • Ensure accuracy and completeness of data entry into relevant databases and systems.
  • Utilize technical knowledge to support technical staff in preparing reports, presentations, and project documentation.
  • Coordinate with technical teams to ensure timely completion of tasks and adherence to project deadlines.
  • Assist in ensuring compliance with regulatory requirements, company policies, and industry standards related to document control and data management.
  • Conduct periodic audits of documentation to verify accuracy, completeness, and compliance with established standards.
  • Identify opportunities for process improvement and efficiency enhancements in administrative and technical workflows.
  • Participate in training programs and professional development activities to enhance technical and administrative skills.

Experience & Qualifications:

  • Bachelor’s degree in a relevant field such as business administration, engineering, or a related discipline.
  • Proven experience working as an Assistant or administrative assistant in the oil and gas industry.
  • Strong understanding of technical terminology, processes, and documentation used in the oil and gas sector.
  • Proficiency in office software applications (e.g., Microsoft Office Suite, document management systems).
  • Excellent organizational skills with a keen attention to detail and the ability to multitask effectively.
  • Exceptional communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
  • Proactive mindset with a strong commitment to quality, accuracy, and confidentiality.
  • Ability to work independently with minimal supervision and as part of a team in a fast-paced environment
