The Nutrition team’s objective is to reduce preventable deaths and improve maternal and child health, with a particular focus on the 1,000-day window of opportunity from the onset of pregnancy to the child’s second birthday. Key program areas include large-scale food fortification; nutritious food systems; maternal, infant, and young child nutrition; and upstream research and innovation to identify new approaches and game-changing interventions.Across our areas of focus, we work closely with governments, the United Nations, bilateral agencies, nongovernmental organizations, and the private sector. Provide wide and varied administrative, operational, and organizational support for program or operations leaders and teams. Efficiency, attention to detail, flexibility and good judgment are essential in this role to ensure smooth team operations. The Program Assistant is an integral member of the team, ensuring that all administrative and scheduling functions are completed in a timely manner allowing for highly productive environments!Core Responsibilities

  • Schedule a high volume of appointments and meetings, manage complex calendars for multiple people, and make travel arrangements.
  • Take a lead role in scheduling and planning for complex events, such as meetings and large conferences, including coordinating arrangements for participants, handling logistics, and preparing and disseminating materials.
  • Serve as a key liaison with our external partners and grantees, including communications support and assistance to ensure timely responses to inquiries, concerns, and requests.
  • Maintain organized files and records and a system for tracking, monitoring and prioritizing tasks and projects.
  • In some instances, the program assistant will need to handle expense reports and reimbursement requests.
  • Provide general operations and project coordination support for the business and programmatic teams. This may include projects to improve/optimize work processes and workflow or conducting basic research and analysis of data to respond to requests.
  • Act as a key culture champion for the team by identifying unmet needs and working with team of program assistants and Senior program assistant to identify opportunities for improved cohesion and work / team culture.
  • Interact and communicate clearly and consistently with grantees and partners in the field.

Core Knowledge and Skills

  • Action oriented and able to take on new opportunities and tough challenges with a sense of urgency, poise, enthusiasm, and creativity.
  • Excellent interpersonal savvy, and the ability to relate openly and comfortably with a diverse group of people from varying backgrounds and cultures.
  • Sets priorities and meets deadlines while balancing needs of providing support for multiple individuals, including complex calendar, travel, and event planning.
  • Excellent oral and written communications skills. Able to communicate effectively with internal and external contacts and have the ability to adjust to a wide variety of working styles.
  • Ability to keep a level head and think proactively in the face of ambiguity. Ability to deal constructively with problems that do not have clear solutions or outcomes.
  • Knowledge of foundation priorities and how they align with the goals of the department/division.
  • Proficient with MS Office Suite.

Education and Experience

  • Associate’s Degree with 3+ years of experience, or equivalent experience.
