The UK Mission to the United Nations (UN) & World Trade Organisation (WTO) in Geneva represents the interests and policies of the UK at the international organisations in Geneva. We are seeking a part-time Transport and Logistics Officer.This is a fixed term position that will be pivotal within the wider Corporate Services Team, working under the supervision of the Post Security Manager. Our new Transport & Logistics Officer will support the UK Mission (and in particular the Corporate Services Team, Private Office and the Mission Drivers) in carrying out a broad range of logistical, transport, administrative, security and safety-related tasks, to help the Mission run smoothly and keep staff safe.The successful candidate will be a key enabler for improving the efficiency and safety of transport at the Mission. This will include managing the day-to-day assignment of our small team of drivers, supporting Private Office with daily transport programmes, providing logistics support for official VIP visits and large events, and ensuring that the fleet is kept in good working order.The Transport & Logistics Officer will also:
- Support the UK Mission’s Corporate Services Team with logistics tasks and related administration, ensuring that staff have the information they need on vehicles, removals and transport, and that the Mission remains compliant with FCDO transport policies and local legislation.
- Provide security and safety resilience cover, under the direction of the Post Security Manager, by fulfilling the roles of Deputy Post Security Manager and Deputy Fire Safety Manager. These roles help to ensure the security and safety of all staff, information, assets and estate.
Roles and responsibilities:
- Build and maintain driver team cohesion, help manage the team’s workload, maximise the team’s productivity, support their development, supervise driver conduct and performance
- Ensuring the needs of the Ambassador’s Private Office are met
- Keep the Transport Policy under regular review and coordinate updates and changes.
- Analyse and evaluate Mission transport and fleet requirements and organise vehicle maintenance, repair, acquisition, replacement and disposal in accordance with FCDO policy.
- Help prepare transport programmes for the Ambassador and high-level visits to Geneva, demonstrating excellent coordination with internal and external stakeholders.
- Provide logistical support to large events organised by the UK Mission.
- Design and oversee an inspection programme for vehicles and transport-related equipment.
- Oversee compliance of vehicle registration, diplomatic protocol, safety, insurance and drivers’ licenses for all fleet vehicles and drivers.
- Provide critical logistics support to Mission during the period of moving to new office premises.
- Provide administrative support and resilience to the Corporate Services Team and Private Office as and when required.
- Provide basic security and safety support to the Security/Fire Safety Manager as and when required.
- The successful candidate may also undertake driving duties as required.
- Other duties as directed by the Security Manager or Corporate Services Manager.
The above list is not exhaustive, and the jobholder will be required to be flexible and take on other ad hoc tasks as required.Essential qualifications, skills and experience
- Exceptional organisational and administrative skills, with excellent attention to detail.
- Fluency in both oral and written English and French (minimum of C1 level for CEFR framework*) and excellent communication skills.
- Previous experience in administration, logistics, safety or security management.
- At least 1-2 years’ experience working with and helping to motivate a team, including building productive working relationships.
- Excellent IT skills – including Outlook, Word, Excel and ability to learn new programmes quickly.
- Flexible with a “can do” attitude, and willing to get involved in a wide range of corporate services workstreams.
- Ability to work independently and under pressure.
- Good working knowledge of the Geneva area.
- Full driving licence.
Desirable qualifications, skills and experience
- Experience working in a diplomatic or government environment.
- Team management experience.
- Recognised administrative, transport, logistics, security or fire safety qualifications.
- Experience in organising or supporting events.
