Engineering Student Services is poised for the future and preparing for growth!We serve engineering students by creating a clear path that supports them throughout their academic programs and enables them to complete their programs on time, overcome barriers to success, and enjoy a positive educational experience.PositionReporting to the Manager, Student Services, the Undergraduate Academic Student Advisor will provide superior student services to undergraduate Engineering students. Specific responsibilities are to administer the admission and transfer credit processes for domestic and international applications, provide academic advisement for undergraduate students, including first-year, evaluate academic standing and facilitate convocation procedures within the Faculty of Engineering.The successful candidate will work independently within the student services team, and contribute to the service, enrollment management and community outreach goals of the Faculty of Engineering.The Undergraduate Academic Student Advisor is accountable for contributing to the effective delivery and maintenance of the specialized programs within the Faculty of Engineering and its four departments and provide comprehensive, individualized assistance and academic advising.The advisor must have a working knowledge of issues related to the Freedom of Information & Protection of Privacy Act (FOIPP) and accommodation of students with disabilities as well as a passion to work one-on-one with students.The advisor will work closely with more than 4800 undergraduate students to provide advice on program requirements, academic performance and timetable management. The incumbent (s) will also be the liaison to the departmental Associate Deans of Undergraduate Studies, Program Directors and acts as a resource to department and faculty undergraduate academic planning committees.DutiesStudent Advising and Program Management
- Advises current and prospective students and staff about university and faculty policies and procedures regarding admission, registration, program planning, program completion, convocation including Iron Ring, course withdrawals, academic standing, grades, deferred exams and FOlPP; advising is conducted verbally and in writing (in-person and e-advising) Rotational advising to provide in person advising.
- Advises and coaches students regarding larger life issues such as career planning; refers students with severe personal difficulties to the appropriate professional counselors and/or agencies on campus.
Information Coordination
- Coordinate and monitor programs and course information published in the University of Alberta calendar to ensure accurate information and identify and correct errors.
- Evaluates Academic Standing for all students in Undergraduate Programs.
- Reconciles accuracy of University Secretariats Notice of Course Program Circular with respect to changes proposed by APC Committee.
Convocation
- Determines graduation eligibility and certifies degree completion for all undergraduate programs upon consultation and approval from each department.
- Assess credit from outside domestic and international institutions with recommendations for final approval from departments.
- Advise students on course deficiencies and provide a program path to facilitate graduation.
- Process accurate graduation lists for Fall and Spring Convocation and for APEGA Iron Ring Ceremony.
Other
- Provide ongoing support to the Manager, Student Services.
- Provide information to Department Assistants and Associate Deans (Undergraduate) and in some departments Program Directors regarding program-specific students.
- Assist in Undergraduate special events as required which may include Open House, Engineering EXPO, First Year Student Engineering Nights, Undergraduate Scholarship Information Night, and Orientation.
- Assist with the development and maintenance of Standard Operating Procedures with respect to Undergraduate matters.
Minimum Qualifications
- Minimum undergraduate degree. Equivalent combinations of education and experience may be considered.
- Three years experience in a post-secondary institution including:
- Direct post-secondary student advising experience.
- Experience working with complex academic records including academic standing, transcript assessment and convocation.
- Working knowledge of University of Alberta policies, processes, colleges, faculty, administrative units, and services: including the Discrimination, Harassment and Duty to Accommodate Policy, the Student Academic Integrity Policy, Helping Individuals at Risk, and FOIPP.
- Training or workshops in handling students at risk is recommended.
- Superior customer service orientation, interpersonal skills, tact, initiative, and a positive attitude.
- Excellent communication (oral and written), intercultural, organization, and problem-solving skills.
Preferred Qualifications
- Working knowledge of UofA academic policies and procedures would be an asset.
- Ability to manage and prioritize large volumes of work in the face of strict deadlines.
- Excellent computer skills including Microsoft Office applications.
- Experience with student administration system technology (PeopleSoft – Campus Solutions).
- Ability to work independently as well as part of an integrated team.
- Demonstrate ability to maintain confidentiality when working with highly sensitive information.
