The Port Hope Area Initiative (PHAI) is a federal initiative to clean-up low-level radioactive waste in Port Hope and Clarington. The project involves remediating contaminated sites and consolidating the wastes in an engineered mound in the community. The PHAI Project has a very high public profile and is a top priority for the Government of Canada and the Port Hope area communities.

The Warranty Coordinator is accountable for the management and execution of warrantying restoration activities performed by Small Scale Sites (SSS) contractors on private properties, characterized as moderately complex technical work, multi-year in duration, involving prioritizing tasks and deliverables according to defined timelines, identifying, addressing and resolving moderately complex issues, complying with Quality Assurance standards, and coordinating the schedule of a larger scope. This will include (but not be limited to) such things as tracking completion dates for property restoration and associated start of warranty periods on a per property basis, interaction with property owners for management and resolution of concerns, issues and difficulties identified by property owners for the item(s) being warrantied, as well as close out and documentation of completed warranty periods and the actions taken/required during that warranty period.

What will you be doing !

  • Knowledge of project management principles (scope, schedule, time, quality, risk) and hands-on experience in the management of various phases of a project (i.e., concept, design, procurement, construction, commissioning, completion and turnover
  • Proficient in MS Office (e.g., Word, Excel, Outlook, PowerPoint)
  • Detail-oriented organization and record keeping skills
  • Able to work independently, establishing priorities in meeting conflicting requirement deadlines
  • Strong analytical and decision making skills
  • Coordination of activities through to closure, in a timely manner
  • Ability to multi-task with emergent issues while maintaining momentum on in progress projects
  • A team player with excellent verbal communication and technical writing skills as well as the ability to work effectively with personnel of varying discipline
  • Strong organizational and time management skills
  • Technical review and management of Contractor submittals and documentation (i.e. exchanging/reporting/ analyzing complex and specialized technical information/documentation) to include:
  • Evaluation of contractor warranty plans to ensure completeness, accuracy, and contract compliance
  • Ensure that contractor warranty deliverables meet stakeholder expectations
  • Review and manage contractor property closeout submittals to ensure no gaps in closeout documentation
  • Evaluate contractor product data and installation quality reports to ensure compliance with contract specifications and CNL policies and procedures
  • Manage property-specific contractor-submitted warranty packages to ensure all warranty items have been properly implemented and are being managed per the applicable warranty timeline
  • Management/tracking of warranty claims from receipt to closure (i.e. identifying, addressing and resolving moderately complex issues) to include:

o Deliver contractor Property Warranty Packages to property owners. This will require the Warranty Coordinator to implement effective communication and personality management skills with contractors as well as property owners

o Warranty costs/finances; provide input to Project Manager on financial decisions

o Track property workmanship warranties per property, maintain and update warranty tracking spreadsheet tools (Warranty Log) for properties and road allowances

o Monthly review and reporting of Warranty Log status to the Project Manager/group

o Coordinate end-of-warranty walk down inspections, signatures and filings

o Perform oversight reviews of contractor warranty implementation practices to ensure compliance with technical and contract requirements

o Communicate the oversight findings and recommendations to contractors; ensure contractors take necessary actions to resolve findings observed during oversight activities

o Prioritization of warranty tasks and deliverables according to defined timelines

  • · Maintain and establish working relationships with multiple-level contacts across the HWP
  • · Pre-emptively/pro-actively identify warranty contractor/project issues; communicate issues to line management and work with the Project Lead to effectively implement actions and resolutions
  • · Monitor warranty plan implementation and effectiveness; identify areas of streamlining, innovation and/or improvement
  • · Manage development and submission of by-property closeout documentation to HWP Project Closeout personnel
  • · May be required to provide work instruction, feedback and training to new hires
  • Provide other inputs and carry out other assignments as directed

What we are looking for :

  • A degree or diploma from a college/university in a relevant discipline such as Business Administration, Engineering or Construction
  • Three years of warranty or project completion experience
  • Desired qualifications: registration or eligibility for Project Management Professional Certification; claims processing experience; residential and/or industrial construction experience with a knowledge of multiple building trades

In summary, the Warranty Coordinator must have education and experience that meets one of the following:

  • With a relevant post-secondary university degree, the candidate must have a minimum of 2 years of directly relevant experience in remediation and/or construction project, quality control or quality assurance.
  • With a relevant post-secondary college diploma, the candidate must have a minimum of 4 years of directly relatable experience in a Construction, Engineering, quality control or quality assurance. or related scientific industry.
  • Without a formal post-secondary degree or diploma, the candidate must have a minimum of 7 years experience in a construction, engineering, quality control or quality assurance. or related scientific field and no formal post-secondary school education in a remediation or construction area. Security clearance eligibility required: Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom.

Working Conditions :

  • Works primarily in an office environment with a small amount (10% – 20%) of working remotely (e.g. tele-working)
  • Several hours per day – or possibly more – of computer work is required
  • Frequent field site visits will be required depending on the stage of the project; field visits will require the use of all applicable personal protective equipment
  • Field visits may require entering of a radiological work area

CNL’s Historic Waste Program Management Office is in the beautiful and historic community of Port , Ontario . Roughly 100 km East of Toronto, still close enough to the “Big City” without all the hassle of being in the “Big City”.
