Job description
The mission of Facilities Management (FM) is to provide the Dalhousie community with an inviting, safe and sustainable environment which supports and enhances an inspiring experience in learning, living, working and research. Reporting to the Manager, Operational Planning and Logistics, the Work Control Centre Coordinators will oversee the client-facing portion of the FM integrated work management system which coordinates all requests for building maintenance, repairs, renovations, and installations, working closely with both FM staff and clients across the university.
Key Responsibilities
- Use FM’s integrated work management system to direct the workflow of service and event support requests to various shops and departments within FM, communicate with clients, and coordinate estimates and project management approval forms with appropriate individuals.
- Participate in the maintenance and design of the system’s client-facing portal. Identify and correct workflow problems. Identify gaps in the portal and make recommendations to improve workflow for clients.
- Manage large databases of preventive maintenance schedules, inspection reports, service agreements, and facility equipment. Coordinate the implementation of these packages with internal and external entities.
- Issue renewal, amending, or re-issue notices for service agreements based on feedback from managers and supervisors. Assist with contract development and request for proposal documents.
- Develop maintenance schedules with vendors, FM shops, and building occupants based on agreement details. Support FM managers and supervisors in the development of preventative maintenance programs. Maintain all preventative maintenance documentation in the FM system.
- Oversee all aspects of updates to existing assets and entries of new assets into the FM system. Generate custom reports regarding assets as well as service requests and preventative maintenance.
NoteDue to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
- Business/Administrative Professional diploma plus approximately three to five years’ related experience (or equivalent combination of training and experience).
- Demonstrated ability to work independently with excellent organizational skills and attention to detail.
- Proven excellent customer service, interpersonal and teamwork skills along with strong communication (verbal and written) skills.
- Strong computer skills, particularly in databases and MS Excel, with the proven ability to learn new systems, work with large databases of information, and operate within multiple systems simultaneously.

- Previous experience using computer-based integrated work management systems such as the ReADY/AiM portals.
