Job Description (Roles and Responsibilities)
Main purpose of job:
The Administrative Assistant will provide essential administrative, financial and organisational support to the Colombia team and the region. The role will ensure the smooth running of day-to-day operations by managing correspondence, scheduling meetings, coordinating logistics for official visits and events, and maintaining accurate records and databases. The jobholder will liaise with internal embassy teams and external stakeholders, including local authorities, to support programmes aligned with UK strategic objectives. This position offers opportunities for professional development through exposure to diplomatic processes, training on FCDO systems, and collaboration within a dynamic team committed to strengthening bilateral relations.
Roles and Responsibilities:
To provide general administrative support to the Colombia team across a wide spectrum of activities, including:
– The translation and drafting of official documents and correspondence.
– Assisting colleagues with travel bookings.
– Coordinating logistical arrangements of events hosted by the team.
– Providing linguistic support for non-Spanish speaking trainers and visitors.
Financial management and reporting:
– Day to day financial record keeping.
– Processing of payments.
– Ensure correct and timely submission of monthly accounts.
– Ensure compliance with financial controls.
Essential qualifications, skills and experience
- Must be a 5-Eyes National (refer to other information section).
- Proficiency in Spanish and English
- Previous experience in a similar administrative role.
- Fluent English and Spanish, both written and spoken.
- A good working knowledge of Microsoft Office.
- Excellent time management, organisation and communication skills.
Desirable qualifications, skills and experience
- Previous finance experience.
- Possession of valid UK Government security clearance would be highly advantageous.

Other benefits and conditions of employment
Applicants must have the legal status to live and work in Colombia and due to UK Government security clearance requirements, the successful candidate must be a British citizen or a citizen of Australia, Canada, New Zealand or the United States. They must also have lived and worked in one of those countries for at least six (6) months within the past five (5) years. The successful candidate will need to complete UK Government security clearance procedures before commencing employment (this may take several months), therefore, starting date may go beyond the indicated date.
Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
Appointable candidates who were unsuccessful may be placed on a ‘reserve list. If during the reserve period of 6 months the same or a largely similar role becomes available, that role may be offered to the second or subsequent candidate.
